When looking for a venue to hold your next big event, conference, or wedding reception you may feel overwhelmed by all the options you are faced with. There are so many important factors that should be considered when making your decision and it can be difficult to know where to start. One helpful tip would be to make a list of what is most important to you when booking this event. Also, never sign the contract until you are sure of any additional charges that may have been tacked on.
First of all, you want to be sure that the staff you are working with at the location will be accommodating and helpful to the success of your event. Always meet with the on-site event planner in person before booking your event with them. You may find that you have a difficult time working with them or that they do not seem to care about catering to your needs. Alternately, working with an experienced event planner can make all the difference in your event and can be invaluable to your day.
Besides finding an experienced and helpful event staff to work with at a venue, evaluating the room itself is extremely important. You want to be sure the room has capacity to fit your guest list as well as the right look for your event. If there is not a large budget that is going towards decorations, centerpieces, flowers, etc. then try to find a room that already looks great without a lot of added pieces.
Next, be sure that you see the room that you will be holding the event in and ask to see pictures of previous events held there. This is a good way for you to gage what the room looks like at its best and may also give you some great ideas of what you can do with it. Also, be sure that the invited guests list will be able to fit comfortably and consider if they will be seated at tables, mingling, or if there should be space for a dance floor. These factors can all contribute to whether or not a space will work for you and your event.
Ask the event planner from the venue what dishes they would most recommend to you and which are the favorites among those who have used the site in the past. Then schedule a taste testing. Try everything that will be on the menu and bring someone along to help you. If you aren’t impressed with a certain dish, your guests won’t be either, so this is the time to change your mind about some items and ask for them to be replaced. Use your best judgment, and don’t be afraid of offending the cook. You guests will really notice the extra time spent on this part of the day.
